Transport
The rental rate excludes transport. All transportation costs are the responsibility of the organizer. The unhooking and subsequent return of the exhibition will be agreed at a mutually convenient time during the opening hours of Roger-Viollet.
Assembling and protection
The prints must be framed and protected under glass; the organizer is responsible for the good preservation of the loaned prints and liable for any damage or alteration that may occur either during transportation or the duration of the exhibition. The printing of caption cards is also the responsibility of the organizer (texts will be provided in Word format).
Insurance
The organizer agrees to take over the "nail-to-nail" insurance coverage of the works based on the insurance values communicated to him by Roger-Viollet; the certificate of this insurance will be required prior to the unhooking of the exhibition.
The organizer also agrees to make an immediate insurance claim to his insurer in case of damage or theft of any of the elements of the exhibition during the "nail to nail" insurance period and to pay the the fees immediately upon receipt of the invoice sent by Roger-Viollet.
Conditions of right assignment
The organizer shall comply with the general terms and conditions for the assignment of the photographs from Roger-Viollet, attached to the rental contract. It is specifically acknowledged that the exhibition rights granted to the organizer do not include in any case the rights relating to the works of the spirit, trademarks, movable and immovable property or persons possibly represented on the photographs.
Promotion of exhibitions
Digital files of three images will be provided for the promotion of the exhibition. These images will be exempted from reproduction rights for the following uses, carried out within the framework of the promotion of the exhibition and for its duration:
- poster of maximum format 30x40, not sold
- display excluding paid advertising
- tour guide, catalogue or brochure presenting the exhibition, not sold
- invitation card, not sold
- exhibition website
- exhibition press kit
the local newspapers, within the limits of one image per title, with a maximum format of a quarter of a page, illustrating an article announcing the exhibition.
A copyright notice in the format detailed below must be included on any communication medium directly linked to the promotion of the exhibition, reproducing a photograph of the exhibition (poster, invitation card, press, catalogue): © name of the photographer / preservation institution if necessary / Roger-Viollet
The models of the various communication media listed above must be submitted for approval before final printing (no colorization, no cropping, can be carried out on these photographs without prior authorization). Such approval will not be unreasonably withheld.
Three copies of the invitation card, a poster and a copy of the press review of the exhibition shall be sent to Roger-Viollet within 30 days following the end of the exhibition.
The archiving of digital media beyond the duration of the exhibition, or their reuse for any other purposes are prohibited. Any other use of the visuals, especially for the editing of publications or sold products (exhibition catalogue, postcards, posters sold, etc) will be subject to invoicing of additional rights and a quote request to the Roger-Viollet.
Reservation
Signed acceptance of the quotation is contractually binding; any subsequent cancellation, except in cases of force majeure, will immediately initiate the the invoicing of penalties equivalent to 25% of the amount excluding VAT of the quotation. Payment of the penalties should be made immediately upon receipt of the invoice.
